This position provides IT project coordination support to IT project manager who works on a client’s site. Duties include to attending various meetings and presentations, arranging and sending invitations and taking minutes. A work location will be at a client’s site in NY/NJ area. Normal hours of work will be from 9:00 am to 6:00 pm, but this position is required to be flexible to stay late night as needed.

PRIMARY RESPONSIBILITIES:

1. Attends various IT project-based meetings, presentations and conferences with or without IT project manager.
2. Sets up and coordinates meetings, presentations and conferences.
3. Maintains and distributes IT project manager’s weekly schedule status.
4. Maintain IT project-based documentation including updates and changes of the document as needed.
5. Takes requested minutes of the meetings, presentations and conferences in English.
6. Ensure project progresses without any obstacles.
7. Arrange flight & hotel reservations for the project related business trip.
8. Answer the phone calls and emails for the project manager as needed.

KNOWLEDGE AND SKILL REQUIREMENTS:

1. Must have basic IT Knowledge.
2. Excellent skills of Microsoft Office products (Word, Excel, Outlook, Access and PowerPoint).
3. Excellent communication skills – speak, write and read in both English and Japanese at business level.
4. Strong team orientation skills.
5. Previous working experience as an Executive Receptionist/Administrative Assistant.
6. Must be authorized to work in the U.S.

REQUIRED EDUCATION AND EXPERIENCE:

1. Bachelor’s Degree in Business, Finance or IT; or equivalent combination of education and experiences.
2. Entry level of experience in IT Helpdesk Engineer or a similar position is a plus.

SUPPLEMENTARY QUALIFICATIONS:

1. Previous working experience in a financial firm and understanding basic banking system are plus.
2. Previous working experience in Project Management (Project Life Cycle) is a plus.
